What Ergentor.ai does, how teams share it, how we protect your data, and the legal terms that apply. If your question isn’t here, ask us — we’d rather answer it than have you guess.
What it is and how to try it.
A sales CRM built for enterprise sales reps and the managers who run them — not for administrators. It covers accounts and contacts, an opportunity pipeline, tasks and calendar, quoting and invoicing, POC and evaluation planning, RFP responses, customer briefings and outbound campaigns, with a set of AI assistants that work off your own CRM data.
It runs in your browser. There is nothing to install and nothing to configure before your first rep can start working.
Yes, and without giving us anything. There are two no-login demos:
Both save only inside your own browser. Nothing you type into a demo reaches our servers, and nothing you do there carries over into a real account.
The POC Planner is also available on its own with a free trial.
No. Ergentor.ai is a web app — open it in a browser and sign in.
There is also an optional Mac desktop app for people who prefer a dedicated window, and the web app adapts to phones and tablets (the top navigation becomes a drawer on small screens).
Current versions of Chrome, Edge, Safari and Firefox, on Mac, Windows, iOS and Android. Internet Explorer is not supported.
CSV import for contacts and companies (we provide the template), CSV import for tasks and for your product catalog, and a Google Contacts import that brings people in already grouped by company.
Duplicates are detected during the import and you decide, per record, whether to merge, add or skip. Inside an organization, bulk imports are restricted to admins.
Minutes, not weeks. An onboarding wizard walks a new account through profile, product catalog and first records. Most people are working in it the same day.
Nothing has to be built by a consultant or an administrator first — a single rep can sign up and be productive on their own, and a company structure can be added later without redoing the work.
Not for saving. Your most recent data is cached on your device so the app opens instantly, but you need a connection to load and save changes.
Your work isn’t lost if the connection drops: edits are written to the device first and sync when you are back online, and the app refuses to save at all until it has confirmed your data loaded correctly — a deliberate guard so a failed load can never overwrite good data with an empty one.
What it does once your data is in.
The short version:
The features page has the detail, with screenshots.
Yes. You can connect Google and Microsoft accounts — more than one of each — for two-way calendar sync, and send email through your own connected account. Emails you send to a CRM contact are copied into that contact’s notes automatically, so the record keeps the history.
You can also export tasks and events as a standard .ics file for any calendar app.
Yes, through outbound webhooks. When something happens — a deal is created, moves stage, is won or lost, a task is created or completed, an invoice is sent or paid — Ergentor.ai posts it to a destination you choose.
Slack is one click: you approve the permission and pick the channel on Slack’s own screen. Microsoft Teams and any generic endpoint (Zapier, Make, n8n, or your own service) use a URL you paste in.
A new destination sends nothing until you tick which events it should receive. That is deliberate — integrations start silent.
Yes. The meeting recorder captures a call and writes the transcript straight into the account’s notes, with speaker names. It always asks you to confirm that participants have consented before it will start recording.
See how recordings are stored and deleted in the security section below.
Yes, at any time, without asking us:
Your data is yours. We don’t hold it hostage, and there is no export fee or export request process.
How more than one person shares it, and who sees what.
Yes, and there is more than one shape depending on how you work:
By default, your own. Beyond that, a person sees their own records, plus everyone below them in the reporting line, plus accounts covered by the territories they have been granted. Organization admins see everything in their company.
Records belonging to someone else are marked and are view-only — you can add a note to a colleague’s account, but you cannot edit or delete their records, and they are never saved into your own data.
Nothing is shared between separate customers. Two companies using Ergentor.ai cannot see each other in any form.
Every account, contact and opportunity carries an owner. Anyone can claim an unowned record; only the owner or an admin can reassign an owned one. When somebody leaves, an admin can transfer everything from one person to another in a single action.
Yes. Inside an organization, admins hold capabilities that ordinary members don’t: bulk CSV imports, editing the shared product catalog, quote and invoice terms, the knowledge base, webhooks, backups, AI spend limits and account deletion. Roles are customizable — you define your own beyond the built-in set.
What the assistants do, and what they are allowed to see.
They work off your own CRM data rather than answering in general terms. Among other things they will analyze your pipeline and notes, draft follow-up emails and campaigns, generate MEDDPICC qualification and account plans, build a POC readout deck, draft RFP answers from your knowledge base, summarize what has been said on an account, and take dictated updates by voice so you can update the CRM while driving.
There is also a support assistant inside the app that knows the product and can troubleshoot and file a bug for you.
Yes, if you tell it. There is an Industry / Sales Environment setting in User Settings → AI Assistant with thirteen options — technology and SaaS, manufacturing and industrial, wholesale and distribution, staffing and recruiting, insurance and employee benefits, professional services, construction and building products, logistics and freight, financial services and payments, healthcare, telecom, marketing and media, or general B2B.
It changes what the AI reasons about, not how it talks. In manufacturing it weighs a missing engineering approval and where the specification is being written; in staffing it counts how many hiring managers you have engaged and whether the account runs through a VMS; in insurance it works backwards from the renewal date and asks whether finance has been in the room. Terminology, buying committees, procurement steps, deal risks, expansion and renewal signals all shift with it.
Two things it deliberately does not do. It never overrides your own data — what your records say about an account always outranks general knowledge about a market, and the AI is told to say so where the two disagree. And it does not replace the sales fundamentals: economic buyer, champion, compelling event and next step still apply, the industry just decides which of them matters most right now.
In a company workspace an admin can set one default for everyone, and anyone selling into a different market can still choose their own. If nobody sets anything, the AI behaves exactly as it always has.
Here is one question, asked seven times. Same product, same assistant, same words typed in. The only thing changed between runs is the Industry / Sales Environment setting. These are real replies, trimmed for length.
The question: “I am meeting a brand new prospect for the first time next week. What are the two most important things to ask, and what single signal would tell me this is a real opportunity rather than polite interest?”
Notice what did not change. Every one of those answers is still doing the same job — find the compelling event, map who decides, separate real urgency from politeness. The method is identical. What moves is where it points that method: at the specification in manufacturing, at the requisition in staffing, at the renewal date in insurance, at the reorder pattern in distribution.
A second example, on an existing deal. Asked “a deal has gone quiet for three weeks, what is wrong?”, the general answer leads with a lost champion or a shifted compelling event. The distribution answer adds the tell that only makes sense in that market — check whether the account is quietly ordering elsewhere, because in distribution accounts rarely announce that they left, they simply order less. The insurance answer asks whether the renewal date moved and whether the CFO was ever aware, because a benefits conversation held entirely inside HR is the classic way that deal dies.
Where it changes least, so you know what you are buying. The more your own records already say, the less this matters. On an account with detailed notes, named stakeholders, live tasks and a POC plan, the assistant leads with your data in every industry — it will tell you the CFO has not seen the business case and the security review has not been booked, because that is what the record shows, and your records always outrank general knowledge about a market. The industry lens shows up most on new accounts, thin records, and the strategy questions where there is no data to lean on: what to ask, what to chase, what to worry about, what a good next step looks like. That is the honest shape of it.
No. AI works out of the box for signed-in users. Requests go through our own server, which holds the key — you never paste a credential anywhere.
No. An AI assistant sees exactly what you can already see in the app and nothing more — your own book, your reporting line if you are a manager, and any territories granted to you. It has no ability to read another customer’s data, and no ability to read a colleague’s records that you couldn’t open yourself.
No. We do not use your CRM data to train AI models, and we do not sell it. That holds for both of the AI providers we send anything to:
No. Every AI feature is something you choose to run — navigating around the CRM and editing records never triggers an AI call on its own. The CRM is fully usable with the AI features left alone, and admins can set spend limits per person and for the whole company.
No, and you should not treat it as though it is. AI output is a draft. Review anything before it reaches a customer, and check any figure it quotes against the record.
We design around this: features that produce customer-facing documents are built to refuse to invent a fact rather than fill a gap with something plausible — a POC finding with no evidence behind it is left out, and an RFP question your content cannot answer is flagged as a gap instead of being answered. That reduces the risk; it does not remove your responsibility to check the output. See Legal & liability.
Where your data lives, who can reach it, and how you get it back.
In a managed cloud database and object storage hosted on Supabase, which runs on major cloud infrastructure. Files — contact photos, documents, images pasted into notes, meeting audio — are held in dedicated storage buckets scoped to your account rather than inside the database.
If you have a data-residency requirement, talk to us before you sign up so we can confirm what we can support.
Yes. All traffic between your browser and our servers is encrypted in transit with TLS, and the database and file storage are encrypted at rest by our cloud provider.
Every row of data carries its owner, and access is enforced by row-level security policies in the database itself — so the rule is applied on the server for every single request, not by the browser deciding what to show you. A request for a record you are not entitled to returns nothing, regardless of what the client asks for.
The same mechanism enforces sharing: a manager rolling up their team, or a colleague in your organization, only reaches records the policy allows. Sharing outside your company never happens by default — it requires an explicit, revocable invitation.
Yes — app-based two-factor authentication (TOTP, the kind used by Google Authenticator, Authy or 1Password), enabled per user under Security Settings. Password changes live in the same place.
Sessions are short-lived and refreshed automatically, and closing your browser signs you out.
A very small number of authorized people can reach the production database when it is necessary to operate the service or to resolve a support issue you have raised. We do not browse customer data, and we do not use it for anything beyond running and improving the platform.
Our support tooling is deliberately built so it doesn’t need your records: when you raise an issue with the in-app assistant, it is given technical session details — build number, browser, which page you were on, error messages, whether you were signed in — and no CRM record content. No account names, no contacts, no notes, no deal values.
No. We do not sell personal information, we do not share it with advertisers, and we do not use tracking cookies for advertising. Session cookies are used for keeping you signed in.
We use anonymized and aggregated usage data — which features get used, how often — to improve the product. That never includes your customer records.
We keep the list deliberately short, and each one only receives what its job requires:
Services you connect yourself — Google, Microsoft, Slack, Google Drive, OneDrive or SharePoint — receive data only because you authorized that connection, and you can disconnect them at any time.
Three layers, in increasing order of seriousness:
Snapshots are a recovery tool, not a records-retention system. If you have a retention obligation, export on your own schedule.
Recordings are the most sensitive thing in the product and are treated that way.
Consent laws for recording conversations vary by jurisdiction and are your responsibility — the confirmation prompt is a reminder, not legal advice.
Not today, and we would rather say so plainly than imply otherwise. Ergentor.ai is a young platform and formal certification is on the roadmap, not behind us.
What we can tell you is how it is actually built: per-account isolation enforced in the database rather than the browser, encryption in transit and at rest, two-factor authentication, no third-party credentials held in your browser, a strict content-security policy, a short list of sub-processors, and nightly backups. If your security team has a questionnaire, send it to us and we will answer it honestly, including the parts where the answer is “not yet.”
You can delete your own account from inside the app. Doing so erases your CRM records, your uploaded documents and images, your meeting recordings, your search index and your login — and the deletion is explicit per data store rather than left to a cascade.
Our published policy is that data is deleted within 30 days of termination unless the law requires us to keep it. One narrow exception: we retain the record that you accepted the license agreement and privacy policy — which version, and when — because that is the evidence of the contract itself.
If you are a member of a company organization, your admin manages offboarding; removing you from the organization does not delete your login.
Export and deletion are both self-service inside the app. For anything else, email info@ergentor.com and we will respond within a reasonable time. The Privacy Policy sets out the full position.
The commitments we do and do not make.
The End User License Agreement and the Privacy Policy. Creating an account requires ticking a box confirming you agree to both, and the Create Account button refuses without it.
Both documents are readable before you sign up and from inside the app at any time. Your acceptance is recorded against your account — which version you agreed to, and when — so “when did I agree to this?” has an answer.
You do. You retain ownership of everything you enter, and we make no ownership claim over your customer or contact data.
You grant us a limited right to host, process and store it in order to run the platform, and to use anonymized and aggregated data for analytics and improvement. That is the whole of it.
No. Ergentor.ai is currently offered in beta and is provided “as is” and “as available,” without warranties of any kind. It is subject to bugs, errors, interruptions and changes without notice.
We take reliability seriously — automated tests gate every release, and there is a monitoring and alerting system behind the scheduled jobs — but taking it seriously is not the same as warranting it, and we won’t claim otherwise.
No, and this one matters. We do not guarantee the accuracy of pricing, margin or commission calculations, quotes, or any other output of the platform. Sales-tax rates in invoicing are built-in estimates and are meant to be edited.
You are solely responsible for reviewing and validating every output before you rely on it, quote it to a customer, or make a business decision from it. The same applies to anything drafted by an AI feature.
To the maximum extent permitted by law:
That is a real constraint and you should read it as one: it is why we give you self-service exports and restorable backups, and why anything you cannot afford to lose should be exported on your own schedule rather than left solely with us. If your organization needs a higher cap, that is a conversation to have with us rather than an assumption to make. The full text is in sections 10 and 11 of the EULA.
No. There is no service-level agreement today, and the platform is offered “as available.” If an SLA is a requirement for you, tell us rather than assuming one exists.
Keeping your account credentials secure; the lawfulness of the data you put in; validating the platform’s outputs before relying on them; and complying with the recording-consent and privacy laws that apply to you and your customers.
You also agree not to upload illegal or infringing content, not to use the platform to build a competing product, and not to reverse engineer it. You indemnify us against claims arising from your use of the platform, your data, or your breach of the agreement. Full text in sections 7, 8 and 12 of the EULA.
Disputes are resolved by binding arbitration under the rules of the American Arbitration Association, individually — the agreement includes a class-action waiver. The agreement is governed by the laws of the State of California.
Yes. We may update the agreement and the privacy policy, and continued use after an update means you accept the updated terms. Material changes to the privacy policy are announced with a banner the next time you sign in, and a new version of the agreements is recorded as a new acceptance against your account rather than quietly replacing the old one.
The CRM is free, for unlimited users. You only pay for AI, and every paid plan is currently running at half its standard price under founder’s pricing: AI Lite is $5 per user per month (standard $10), AI Pro is $15 ($150 a year; standard $30 / $300), and Business — AI Pro for every seat plus admin, territories, roll-ups and org backups — is $25 per user with a five-seat minimum (standard $50). POC Planner is available on its own: free for one active POC, $5 for unlimited (standard $10), $15 with AI (standard $30). Every price and what it includes is on the pricing page.
Founder’s pricing is temporary. It ends soon, and the exact date is still to be determined — there is no countdown and no seat cap, but it will not run indefinitely. The free CRM is unaffected either way.
Billing has not switched on yet: while Ergentor.ai is in beta every plan is free to use, and nobody is charged until we say so in advance. AI tiers are flat-price with no meters — on an unusually heavy month AI switches to a faster model rather than stopping or charging more.
How to reach a human, and how to reach the built-in one first.
Three routes, in the order most people find fastest:
Tell the in-app support assistant what happened. If it concludes it is likely a bug, it files a ticket for you with the reproduction steps and the technical details of your session attached, and gives you the ticket number. You can also email us directly.
We won’t promise you a fix date. We will tell you honestly whether something is a defect or intended behavior.
Email info@ergentor.com. If it is a question a prospect would reasonably ask, it probably belongs on this page — so asking it helps the next person too.
The demo needs no login and no credit card. Open it and look around.
